Ron Scott Design Build seeks a person to support our Design Principal in scheduling, procurement, data entry into Jobtread & Design Spec, email communication, filing, and more. This is a cornerstone role ideal for someone who thrives on creating structure, enjoys supporting others, and takes pride in reliable, detail-driven work. You'll enable our Principals to focus on vision, design, and leadership while you orchestrate the flow of information and operations behind the scenes.
Core Responsibilities - Provide high-level administrative support to the Design Principal, including scheduling, email management, and preparation for meetings.
- Enter and maintain accurate project data, timelines, and budgets within our project management system (JobTread).
- Support estimating efforts by assisting with quantity takeoffs, vendor follow-up, and cost entry.
- Track action items, client communication follow-ups, and internal deadlines.
- Create and maintain organized systems for digital files, project notes, and procurement logs.
- Be the reliable right-hand to the Principal, keeping tasks on track without needing to be asked twice.
Ideal Candidate Will Be - A Guardian-Connector voice (per the 5 Voices framework) who is dependable, relational, and quietly proactive.
- Naturally structured and stable to bring calm and order to a fast-moving creative environment.
- Experienced with spreadsheets, task management tools, and (ideally) construction or design platforms like JobTread.
- Comfortable with light estimating tasks, data organization, and project file coordination.
- Protective of your Principal's time and energy, stepping in where needed to reduce overwhelm.
